Position Overview:
IRC is seeking a Regional Executive Support Manager (RESM) for the EAST & Central AFRICA regional teams. This key role provides essential administrative and operational support to the leadership teams, ensuring seamless operations and high performance. The RESM will collaborate closely with the Regional Vice Presidents, Deputy Regional Directors, and Country Directors to ensure smooth running of day-to-day activities and to support critical regional engagements.
Key Responsibilities:
General Administration (60%):
Provide senior-level office management support, including logistics, scheduling, and document archiving.
Organize and manage inter-departmental meetings, prepare agendas, take notes, and follow up on action plans.
IT Support:
Offer IT coordination and troubleshooting for senior staff, liaising with the IT service desk when needed.
Maintain the East & Central Africa RescueNet intranet space.
Financial Support:
Collaborate with the finance team for purchase requests and manage tracking for Technical Advisor visits.
Maintain expense management procedures for the regional teams.
Travel Coordination:
Handle travel arrangements, including visas, accommodations, and schedules for visitors.
Manage onboarding for new regional team members.
Event Planning and Execution:
Develop and manage the regional calendar, ensuring smooth execution of key engagements and events.
Organize regional conferences and workshops, including logistics, venues, travel, and catering.
Data & Analysis:
Collect and analyze information from seminars, conferences, and workshops for decision-making.
Support in creating data dashboards for regional leadership.
Communication Support:
Assist the leadership teams with calendar management, meeting coordination, and email management.
Produce polished written communication in English & French, and maintain contact lists and mailing lists.
Key Working Relationships:
Reports to: East & Central AFRICA Regional Vice Presidents
Collaborates with: Deputy Regional Directors, Regional Leads, Country Directors, Global Real Estate, and Workplace Solutions (GREWS) team.
External Contacts: INGO counterparts, governmental and official entities.
Requirements:
Education: Bachelor’s degree in business administration or related field.
Experience: 4-5 years in a similar role, preferably in an INGO environment.
Skills & Competencies:
Strong communication and interpersonal skills.
Excellent organizational skills with the ability to work in a fast-paced environment.
Proficiency in Excel, PowerPoint, and MS Outlook.
Ability to maintain confidentiality and draft professional documents in English and French (Swahili is a plus).
Strong attention to detail and ability to manage multiple tasks.
