Position Details
Job Title: Records Officer II, Regions
Job Ref: HR: KP1/5B.2/1/3/1675
Reporting To: Regional Manager
Key Responsibilities:
Ensure that records management policies and procedures comply with relevant standards, legal, regulatory requirements, and best practices.
Plan and implement records management programs in respective regions.
Conduct regular records surveys, appraisals, and disposals.
Manage semi-current and non-current records at the records centres.
Develop primary finding aids for records management.
Implement records management audits in liaison with the Quality Management System office.
Liaise with divisions and regions in identifying and preserving vital records.
Conduct records management trainings and inductions.
Liaise with user departments to ensure compliance with records management requirements.
Plan and implement document imaging (digitization) projects in collaboration with the ICT division.
Develop and guide departments and regions in the implementation of records management classification schemes, including automation.
Implement records disposal in line with the Corporate Records Retention Policy and Schedules (CORRS).
Implement legal holds (freezing of records disposal) as directed by the Principal/Senior Records Officer.
Undertake any other specialized duties assigned by an authorized officer.
Perform any other duties as may be assigned from time to time.
Appointment Requirements:
Possession of a bachelor’s degree in Information Science, Records & Archives Management, or related fields.
Membership in the relevant professional body.
Computer literate with proficiency in relevant applications.
Minimum of five (5) years’ relevant experience in managing records and archives.
Commitment to the company’s vision and values.

Good writing and communication skills.
Analytical, interpersonal, and negotiation skills.
Strong problem-solving and customer-focused mindset.

Valid Tax Compliance Certificate from Kenya Revenue Authority (KRA).
Current Clearance from the Ethics and Anti-Corruption Commission (EACC).
Current Report from an approved Credit Reference Bureau (CRB).
