Job Description:
The Imports & Exports Co-ordinator will manage the import and export processes, ensuring compliance with relevant laws, international trade agreements, and BIC's internal procedures. This role includes preparing export documentation, coordinating with customs and shipping partners, managing the import documentation process, and ensuring efficient customs clearance. You will also assess and mitigate risks related to import/export activities, maintain records, and support VAT refund claims processing.

Key Responsibilities:

• Export Documentation: Prepare and process export documentation (e.g., EAC, COMESA certificates, COO) as per customer requirements.

• Compliance: Ensure all import/export activities adhere to relevant laws, regulations, and trade agreements.

• Customs & Freight Coordination: Follow up on export clients’ customs documentation and ensure all export procedures are followed before trucks depart.

• Documentation Management: Maintain both soft and physical copies of export documents for auditing and VAT refund claims.

• Report Management: Maintain weekly outbound reports and follow up on any necessary documentation.

• Import Process Management: Oversee the entire import documentation process, ensuring accuracy and timeliness from supplier to delivery.

• PVOC Inspections: Book PVOC inspections for finished goods coming into Kenya where applicable.

• Supplier Coordination: Share import documents in advance with the appointed clearing and forwarding agents.

• Customs Clearance: Work with clearing agents to ensure timely clearance of goods, ensuring compliance with targets.

• Shipping Coordination: Collaborate with shipping companies, freight forwarders, and transporters to ensure cost-effective and timely movement of goods.

• Risk Management: Identify potential risks (e.g., currency fluctuations, geopolitical issues) and advise on mitigation strategies.

• Regulatory Compliance: Stay updated on industry best practices and maintain compliance with local and international regulations.

• Supplier Payments: Process supplier payments, raise POs, and ensure proper billing.

• Invoice Report Management: Maintain daily and weekly supplier invoice reports.

Qualifications:

• Education: A Bachelor's Degree in Supply Chain Management or a related field (preferred).

Experience:

• Minimum of 3 years of experience in import/export supervisory roles, ideally within a manufacturing environment.
