Accounts Clerk at Zetech University

Reports To: Revenue Accountant and Director Finance

Job Objective

The Accounts Clerk will assist the Receivables division in day-to-day operations by performing clerical tasks including invoicing, receipting, transaction recording, reviewing supporting documents, filing, updating the cheque register for customer payments, reconciling accounts receivables, and monitoring debtors.

Key Responsibilities

  • Accounting and Reporting:

    • Process accounts and incoming payments in compliance with financial policies and procedures.

    • Perform day-to-day financial transactions, including verifying, classifying, computing, posting, and recording accounts receivables data.

    • Prepare bills, invoices, and bank deposits.

    • Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.

    • Verify discrepancies and resolve client billing issues.

    • Facilitate payment of invoices by sending reminders and contacting clients.

    • Monitor customer account details for non-payments, delayed payments, and other irregularities.

    • Generate financial statements and reports detailing accounts receivable status.

    • Keep track of customer debtors and initiate collection efforts.

    • Handle highly sensitive and confidential documents daily.

    • Enforce internal controls within the Finance Department.

    • Perform any other duties as assigned.

Qualifications and Experience

  • Diploma in a business-related course.

  • A minimum of C (Plain) in K.C.S.E., with at least C in languages.

  • 1-2 years of prior experience in a similar role in a busy environment.

  • Proficiency with computers and bookkeeping software, strong typing skills.

  • Exceptional time management and verbal and written communication skills.

  • Familiarity with basic accounting principles.

  • Professional manner and strong ethical code.

  • Ability to multitask, remain motivated and positive.

  • Commitment to working efficiently and accurately.

  • Team player with excellent communication and interpersonal skills.
